Job Summary

The Registrar’s Office is seeking a highly skilled and experienced individual for the position of Associate Registrar. The Associate Registrar is a leadership position responsible for overseeing two distinct units (Academic Standards and Graduation) and works closely with the University Registrar, the Associate Registrar team, and the Vice President for Enrollment Management. The Associate Registrar, possessing a comprehensive knowledge of policies for both undergraduate and graduate students, will ensure compliance with academic procedures and effective communication to all students, faculty, and staff. This position will also work closely with divisional and office leadership in executing initiatives for the university’s strategic enrollment plan related to issues of student retention and success.


Responsibilities and Duties

Provide overall supervision and guidance to the Assistant Director for Graduation and the Assistant Director for Academic Standards as well as direction to the staff within each unit.

Serve as a final reviewer of TU's NCAA athletic eligibility process four times a year to ensure that all student-athletes are eligible to compete in athletic competitions. Work with Faculty Athletics Representative to manually review student records to verify full-time enrollment, appropriate progress toward degree completion, and GPA requirements. Communicate with TU Athletics Academic Advisors on a team-by-team basis to resolve issues with student-athlete eligibility.

Oversee the administration of the Accelerated bachelor’s to graduate programs in the setup, enrollment, and graduation of each accelerated student. Maintain accurate accelerated student data via queries and reports.

Coordinate the graduate curriculum process for the Registrar’s Office working with the staff members that oversee the graduate degree audit and the graduate course approval process. Represent the Registrar’s Office at monthly Graduate Studies Committee meetings on matters of graduate curriculum and provide guidance and insight on matters of curriculum from the pre-proposal to final approval. Collaborate with the Assistant Provost for Assessment on issues of MHEC/USM approval.

Provide leadership and advise the Registrar’s Office staff on graduate student issues, with special attention to those that differ from undergraduate policy/procedure. Advise the Associate Dean of Graduate Studies and the graduate program directors on matters related to policy & procedures, catalog, curriculum, registration, and records.  
Coordinate with the Associate Registrar team on office and divisional strategic enrollment management projects and campaigns related to student retention and success. Serve as part of divisional leadership on various committees and initiatives to promote the division’s core values and vision.

Work closely with the Registrar and Associate Registrars to handle managerial issues and provide solutions on matters concerning all aspects of office administration. Coordinate with the Associate Registrars on day-to-day office oversight as well as technology initiatives and projects. Serve as the Registrar’s designee on the Academic Standards Committee and other university-wide committees as directed.
Provide excellent customer service and be a point of contact for questions, concerns, and complaints that require escalation from any area of the office.

Qualifications and Skills

Required:

Bachelor’s degree
At least 5 years of higher education experience including supervision experience
Excellent communication, decision-making, and problem-solving skills
Ability to manage multiple tasks and priorities while meeting deadlines
Experience with various technologies including student data systems, imaging; spreadsheets, and mobile applications


Preferred:

Master’s degree
Background in Registrar's Office, Academic Services, or Student Affairs
Demonstrated use of PeopleSoft Campus Solutions module

Salary and Benefits

Targeted Hiring Range is $88,000 - $93,000 and full University benefits that include 22 days of annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
